The successful candidate will be responsible for the management, maintenance, safety, and proper functioning of University buildings, facilities, utilities, equipment, and physical infrastructure.

Job Overview
The Estate Officer will oversee the University’s physical facilities and infrastructure, ensuring that buildings, utilities, equipment, and surrounding premises remain safe, functional, well-maintained, and suitable for University activities.
The role involves facility inspections, preventive and corrective maintenance, contractor supervision, utility management, health and safety, grounds maintenance, budgeting, asset records, and infrastructure improvement projects.
Key Responsibilities
Estate and Facilities Management
The Estate Officer will:
- Manage and oversee University buildings, premises, facilities, and physical infrastructure.
- Conduct regular inspections to identify defects, damages, safety risks, and maintenance requirements.
- Maintain an updated inventory of buildings, facilities, equipment, and physical assets.
- Plan, coordinate, and monitor routine, preventive, and corrective maintenance.
- Develop maintenance priorities based on facility conditions and operational requirements.
- Ensure University facilities remain safe, functional, and properly maintained.
Building and Infrastructure Maintenance
The successful candidate will:
- Coordinate repairs involving buildings and physical infrastructure.
- Monitor the condition of electrical systems, plumbing, water systems, mechanical equipment, and other facilities.
- Support maintenance and repair of University infrastructure.
- Identify maintenance needs and coordinate appropriate corrective actions.
- Support construction, renovation, refurbishment, and facility-improvement projects.
Electrical and Power Systems
Responsibilities will include:
- Monitor electrical installations and related equipment.
- Monitor generators and backup power systems.
- Check lighting systems, switches, sockets, and other electrical facilities.
- Coordinate repairs and maintenance of electrical infrastructure.
- Report electrical faults and safety risks promptly.
Plumbing and Water Systems
The Estate Officer will:
- Coordinate maintenance of plumbing and water systems.
- Monitor pipes, water tanks, pumps, drainage systems, toilets, and related facilities.
- Identify water-system faults and coordinate repairs.
- Monitor water consumption and recommend appropriate cost-saving measures.
Mechanical and Facility Equipment
The successful candidate will:
- Monitor mechanical and facility equipment.
- Oversee maintenance of pumps and related systems.
- Monitor air-conditioning and ventilation systems.
- Coordinate repairs and preventive maintenance of facility equipment.
- Ensure equipment remains operational and properly maintained.
Staff and Contractor Supervision
Responsibilities will include:
- Supervise maintenance staff, technicians, cleaners, gardeners, and other facilities personnel.
- Coordinate external contractors and service providers.
- Monitor contractors’ performance and the quality of completed works.
- Ensure maintenance works are completed according to agreed standards.
- Coordinate service providers working on University facilities.
Preventive Maintenance
The Estate Officer will:
- Develop preventive-maintenance schedules.
- Coordinate routine maintenance activities.
- Recommend maintenance priorities.
- Monitor implementation of planned maintenance.
- Maintain records of maintenance activities and completed repairs.
- Identify potential facility problems before they become major failures.
Health, Safety and Security
The successful candidate will:
- Monitor health and safety conditions across University facilities.
- Monitor fire-protection measures.
- Identify and report facility-related safety risks.
- Support proper security conditions across University premises.
- Ensure facility maintenance activities comply with applicable safety requirements.
Cleaning, Landscaping and Grounds Maintenance
Responsibilities will include:
- Coordinate cleaning activities across University facilities.
- Supervise landscaping and gardening activities.
- Coordinate general grounds maintenance.
- Monitor waste-management activities.
- Ensure University premises remain clean, safe, organised, and presentable.
Utilities and Cost Management
The Estate Officer will:
- Monitor consumption of electricity, water, fuel, and other utilities.
- Identify opportunities to reduce unnecessary utility consumption.
- Recommend cost-saving measures.
- Monitor utility-related maintenance requirements.
- Support efficient use of University resources.
Budget and Financial Management
The position will involve:
- Participate in the preparation of estate and maintenance budgets.
- Monitor maintenance expenditure.
- Support effective use of facilities-management resources.
- Maintain records related to maintenance expenditure.
- Assist management in identifying maintenance priorities within available budgets.
Records and Reporting
The successful candidate will:
- Maintain accurate records of maintenance activities.
- Maintain records of repairs, contracts, warranties, and inspections.
- Keep records of facility-related expenditure.
- Prepare regular reports on facility conditions.
- Report maintenance activities and outstanding issues.
- Report on utility consumption and facility-management challenges.
Additional Responsibilities
The Estate Officer will:
- Support construction, renovation, refurbishment, and improvement projects.
- Ensure assigned responsibilities are completed efficiently.
- Maintain professional relationships with contractors and service providers.
- Perform other estate, facilities, maintenance, or administrative duties assigned by management.
Required Qualifications and Experience
Applicants should have:
- A relevant Bachelor’s Degree or qualification in Estate Management, Property Management, Electrical Engineering, or a related field, as applicable to the position.
- Practical and technical experience in estate, facilities, property, or maintenance management is an added advantage.
- Ability to coordinate contractors and maintenance teams.
- Strong organisational skills.
- Strong problem-solving abilities.
- Good communication and interpersonal skills.
- Ability to manage multiple maintenance activities effectively.
